Overview

Access control integrations connect Nexudus with physical smart locks and door controllers. When you integrate an access control system, Nexudus automatically provisions and manages access permissions based on your customers’ active inventory — their plans, passes, bookings, and desk assignments.

Why Access Control Matters

Access control systems solve three critical operational challenges:

Extended Hours Access

Customers can access your space 24/7, even when your staff isn’t physically present. This unlocks revenue opportunities from members who need off-hours access and improves the member experience.

Enhanced Security

Only customers with valid Plans or resource bookings can unlock relevant doors. Access is automatically revoked when memberships expire, eliminating the need for manual key management or access card recalls.

Accurate Occupancy Tracking

When customers unlock doors, they’re automatically checked in to your Location. This provides real-time occupancy data for resources, desks, and offices — improving your understanding of space utilization.

Pay-as-You-Go Revenue Stream

Combining occupancy tracking with pay-as-you-go passes unlocks an additional revenue stream for your Location. When customers run out of access passes, Nexudus can automatically sell them new passes as they attempt to access the building. This ensures seamless entry for customers while generating incremental revenue for your business. Key benefits include:

How Integrations Work

When connected, Nexudus handles three key workflows:

1. User Provisioning

When a customer is created or updated in Nexudus, their profile is automatically synchronized to your access control system. This creates their digital identity in the physical access system.

2. Access Assignment

When inventory changes (new contract, booking created, pass assigned), Nexudus calculates which doors the customer should access and updates permissions in real-time:
  • Plans grant ongoing access to specified doors
  • Passes provide time-limited access during valid hours
  • Bookings grant temporary access during the booking window
  • Desks provide access to specific zones or floors

3. Presence Tracking (Check-ins)

Door open events from your access control system automatically trigger check-ins in Nexudus, tracking when customers arrive and leave your space.

Comparing Access Control Providers

Choose the right provider based on your Location’s needs. Use the comparison tables below to understand the capabilities of each system.

Access Methods

Different providers support different ways for customers to unlock doors: * Push to unlock ** Visitors only
Automation Tiles let customers trigger door unlocks through the Passport App without requiring a dedicated SDK. Some providers support direct mobile unlocking within the app.

Nexudus Integration Costs

Nexudus charges a subscription fee for each access control integration. This is in addition to any fees charged by the provider themselves:

Configuration Workflow

Setting up an access control integration follows these general steps:
  1. Connect — Enter your access control system credentials in Nexudus
  2. Configure Presence Tracking — Map physical doors to check-in actions (check in, check out, toggle)
  3. Map Inventory — Link your plans, passes, resources, and desks to doors or lock tags
  4. Test — Verify a test customer can access the correct doors
  5. Monitor — Review access audit logs and check-in reports

Access Behavior

When Access is Granted

  • Plans: Access starts on contract start date, ends on contract end date
  • Passes: Access limited to pass validity window and allowed hours
  • Bookings: Access starts 15 minutes before booking, ends at booking end time
  • Visitors: Access limited to visit window specified by the host

When Access is Revoked

  • Contract is cancelled or expires
  • Pass expires or is consumed
  • Booking is cancelled or ends
  • Visitor access window expires
  • Customer is deactivated

Choosing an Access Control Provider

When selecting an access control provider, consider these factors:
  • Budget — Determine how much you’re willing to spend on both Nexudus integration fees and the provider’s own pricing
  • Access Methods — Choose a provider that supports how your members prefer to unlock doors (mobile app, cards, etc.)
  • Occupancy Tracking — If real-time occupancy data is important, select a provider with check-in/check-out support
  • Visitor Management — If you host visitors, ensure your provider supports visitor access
  • Infrastructure — Decide whether you prefer cloud-based (no hardware) or on-premise solutions
  • Scale — Consider whether the provider supports all the Nexudus items you plan to use (some have limitations)
  • Integration Depth — If you want members to use the Passport App, verify Passport integration is available

Key Behaviors and Constraints

Automatic Access Provisioning

Access is granted immediately when a customer:
  • Purchases an active Plan linked to an access group
  • Books a resource linked to an access group
  • Rents a desk linked to an access group
  • Receives time credits linked to an access group

Automatic Access Revocation

Access is automatically removed when:
  • A Plan expires or is cancelled
  • A desk rental ends
  • A resource booking is completed
  • Time credits expire
Ensure your access control provider can sync with Nexudus frequently to catch expiration events quickly. Some providers sync in real-time, while others may have delays.

Multiple Access Methods

A single member can unlock doors using different methods depending on what’s available:
  • Card readers at physical doors
  • Mobile app (if supported)
  • Credentials or temporary codes
  • Visitor invitations
The method used doesn’t affect when access is granted or revoked — only the access group assignment matters.

Visitor Access

Some providers support temporary visitor access. When enabled, your staff can issue time-limited access to guests without permanent credentials.

Best Practices

Use a consistent approach to mapping plans and passes to doors. For example, map all “Dedicated Desk” plans to the same door set to ensure uniform access.
Create a test customer account and assign/remove inventory to verify access is correctly provisioned before onboarding real customers.
Only map your primary entrance doors to check-in actions. Mapping every door creates noise in your check-in reports.
Regularly review your access control system’s audit logs to catch provisioning issues or unexpected access patterns.
